Privacy Policy

This Privacy Policy explains what data Darshini (“Darshini”, “we”, “us”) collects, how we use and process it, who we share it with, and the choices and rights you have. Darshini is a platform that records and transcribes meetings and turns recordings, transcripts, and uploaded files into structured business deliverables. It applies to the Darshini application and this website.

1. Controller and processor roles

For the content you and your participants put into Darshini — meeting audio and video, transcripts, screen captures, uploaded files, and the deliverables generated from them — you (the customer workspace) are the data controller and Darshini acts as a processor on your behalf. For account and billing information and for operating the service itself, Darshini is the controller. Where another arrangement applies, the terms of your written agreement with us govern.

2. Data we collect

We collect and process the following categories of data:

  • Account data — name, work email, organization, and workspace settings you provide when you request access or sign in.
  • Uploaded and recorded media — audio and video from meetings you record or upload, and other files you submit for processing.
  • Transcripts — machine-generated transcriptions of your audio and video.
  • Screen captures — screen frames captured during recordings where you enable screen capture.
  • Generated output — the structured deliverables, summaries, and other AI-generated artifacts produced from your inputs.
  • Operational data — usage, processing status, and diagnostic records needed to run, secure, and support the service.

3. How we use data

We use the data above to:

  • • Transcribe your media and generate the deliverables you request.
  • • Provide, maintain, secure, and support the service.
  • • Enforce plan limits and quotas and operate billing.
  • • Comply with legal obligations and protect against misuse.

We do not sell your data. We do not use your uploaded media, transcripts, screen captures, or generated output to train our own general-purpose models.

4. AI and model processing

To produce transcripts and deliverables, your content is processed by AI models, including models operated by the third-party subprocessors listed below. This means your audio, transcripts, screen frames, and prompts may be transmitted to those providers solely to perform the processing you request. Generated output is machine-produced, may contain errors or omissions, and should be reviewed before you rely on it. See our Terms of Service for the AI-output disclaimer.

5. Subprocessors

We use the following third parties to process customer content. Each receives only the data needed for its purpose. We may update this list as the service evolves; material changes will be reflected here.

6. Where data is stored

Account and processing metadata are stored in a managed Postgres database. Media, transcripts, screen frames, and generated deliverables are stored in object storage. Access is scoped per workspace so that each tenant is isolated to its own data.

7. Data retention

Darshini supports configurable retention windows for original media, transcripts, screen frames, and deliverables, which a workspace administrator can set. Retention enforcement is still maturing: not all retention windows are applied automatically today, and some deletion runs are operator-initiated. We therefore describe retention as a configurable control rather than a guaranteed automatic deletion schedule, and we will continue to extend automated enforcement. 8. Your rights — access, export, and deletion

Depending on your location, you may have rights to access, correct, export, or delete personal data. To exercise them, contact us at the address below or ask your workspace administrator. We will respond within the timeframes required by applicable law.

We want to be accurate about current limits. Today you can export individual deliverables (including their provenance and stage outputs); a single export covering all of a workspace’s original media and transcripts is not yet available. Deletion of a workspace removes its database records; complete removal of every associated stored object is still being hardened. Where a request cannot yet be fully automated, we will work with you to fulfil it manually, and we will not represent these capabilities as more complete than they are.

Darshini records and transcribes meetings at your direction. As the controller of that content, you are responsible for obtaining any consent or providing any notice that applicable law requires before recording a meeting or capturing a participant’s audio, video, or screen — including in jurisdictions that require all-party consent. Darshini provides the recording tools; it is your responsibility to use them lawfully.

10. Security

We operate the service with multi-tenant isolation and access controls. No method of transmission or storage is completely secure, and we do not currently hold formal security certifications. We describe our security posture honestly on our Security page.

11. Changes to this policy

We may update this Privacy Policy as the product and our practices evolve. We will revise the “Last updated” date above and, for material changes, take reasonable steps to notify workspace administrators.
